Marketing Specialist - Event Planner

GENERAL
Summary:
The Event Specialist will be responsible for supporting and executing 6-10 events a year ranging from 30 to 1,000 student attendees. The Events Specialist will serve as a liaison between the events department and the Academic Residencies team. Responsibilities include managing the vendors needed to support the event, tracking the budget with internal stakeholders, registration, and communication with both students and faculty. This position will work together with a team of planners and success will be measured by the outcomes of the event performance; event quality, cost efficiencies, and collaboration with the Academic Residencies Team. This position includes 50% travel and reports to the Senior Event Marketing Manager.
ESSENTIAL DUTIES AND
Responsibilities:
Work closely with events team members and other internal stakeholders to plan the event within the specified timeline.
Coordinate event details such as catering, sleeping rooms, audio visual, shipping, communications with faculty and students, housing, branding, staffing, and other logistics.
Review contracts and assign program space.
Provide onsite support for Event Managers at large Residency programs.
Research, identify, and recommend vendors needed to support the event.
Conduct post event meetings and make recommendations for improvements as needed.
Identify, investigate, propose, and implement cost reduction opportunities.
Manage event budgets including; tracking and reporting event expenses, processing invoices, and the accrual process.
Collaborate on the development of event marketing plans to maximize event performance.
Help manage a shared student email inbox and a shared faculty staff email inbox daily.
External Requirements
EDUCATION and/or
Experience:Bachelor's degree in business, marketing, supply chain, or related field.
Minimum 3 years of event planning experience (preferred); planning and executing tradeshows, corporate events or other events.
Event planning certification a plus
Working knowledge of Microsoft Office Suite with emphasis in PowerPoint and Excel
Highly effective communication skills both written and oral
Strong presentation skills
Effective project management skills
Ability to manage multiple events
Ability to work effectively within a team environment
Comfortable analyzing and reporting data
Ability to meet deadlines and work proactively
Ability and willingness to travel to event locations; approximately 50% travel - some on weekends and holidays.
