Position Summary Riparian Management is seeking a detail-oriented HR Assistant to join our Human Resources team.
The HR Assistant will provide essential support across various HR functions, including correspondence management, meeting minutes and note-taking, schedule coordination, process development, and recruitment support.
Responsibilities include managing correspondence, documenting meeting minutes, coordinating schedules, contributing to process improvement, and assisting with recruitment efforts.
This role requires a proactive and organized individual committed to maintaining professionalism, confidentiality, and ethical HR practices.

Compensation Structure:
Base Salary up to $55,000
annual performance incentive of $5,000
Responsibilities:
Correspondence Management:
Draft and send welcome emails to new hires for orientation.
Create and distribute a company-wide welcome email to all staff members.
Send benefit enrollment emails to new hires, ensuring completion within 30 days.
Prepare and send initial messages to candidates within the recruiting pipeline through platforms like Indeed.
Send email reminders to HR Managers for performance reviews.
Assist with coordination and planning of the companywide and department events.
Meeting Minutes and Note-Taking:
Take comprehensive notes during interviews and complete interview notes.
Document meeting minutes for intake meetings during the recruiting process.
Record calibration meeting minutes from the interview loop.
Schedule Management:
Coordinate and schedule bi-weekly training sessions for the HR department.
Schedule all interviews using platforms like Teams.
Assist in constructing offer letters for review by HR Managers.
Create and maintain new hire employees' files within Dropbox or similar file-sharing platforms.
Send regular email reminders to the hiring manager, prompting them to schedule performance reviews with employees.
Process Development and Administration:
Collaborate with the VP and Senior HRBP to develop and refine processes for various HR functions.
Send company-wide emails for requested announcements, such as holidays or office closings.
Enroll new hires in the company's compliance training program.
Initiate the drafting process for job descriptions in collaboration with Hiring Managers.
Post approved job descriptions and compensation details on Indeed, LinkedIn, and our Riparian website.
Perform initial screening of applicants based on screening criteria provided by Hiring Managers and arrange interviews accordingly.
Develop and maintain an organized archive for each candidate who has passed the first round of interviews.
Purchasing corporate merchandise for newly hired or existing employees within the company.
Managing new vendor registration documentation as needed.
Perform business-relevant duties as assigned.
Qualifications:
A high school diploma is required.
Associate degree in a related field preferred.
Three years of related field experience is required.
Prior related office experience preferred.
Familiarity with HR and recruiting processes.
Proficiency in using LinkedIn and Indeed platforms for recruitment purposes.
Understanding of decision-making frameworks and models.
Experience with Dropbox or other cloud-based file-sharing platforms for efficient information management.
Attention to detail and ability to maintain accuracy.
Organizational skills for effectively managing information and tasks.
Self-regulation skills to maintain focus and discipline in a fast-paced environment.
Time management skills to prioritize tasks and meet deadlines.
Excellent verbal and written communication skills.
Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
